JOB SUMMARY
This position has the overall responsibility for ensuring that the Chief Commercial Officer’s (CCO) office operates in an efficient and effective manner by assisting with a broad range of supportive functions related to the Commercial Division (Marketing, Business Development, Strategy and Research, Academic Zone, and Client Relations departments). This includes coordinating and integrating the day-to-day operational and administrative activities of the department, directing appropriate follow-up, to ensure that necessary actions have been taken to meet the set objectives, maintaining an effective and efficient network of contacts within as well as outside the organization, often dealing with a wide variety of complex issues; and coordinating projects on behalf of the CCO.

DUTIES AND RESPONSIBILITIES
  • Serve as the primary support to CCO by assisting him/her with a wide variety of highly complex and responsible administrative duties and projects.
  • Oversee the CCO’s office ensuring that it functions in an efficient and timely manner and in line with RAK FTZ policies and procedures.
  • Manage special projects as assigned by the CCO, such as various project reports and/or market research.
  • Assist with the follow-up of assignments given to other staff in Commercial Division.
  • Compose and prepare presentations, reports, memoranda, speeches and other documents as and when required.
  • Research, analyse and present data for reports and other materials and expedite work flow.
  • Organize, index and maintain reference and follow-up files as well as Lanserver folders with updated and accurate information.
  • Set up and coordinate meetings and conferences within the Commercial Division.
  • Maintain and update diary of appointments, organize meetings, make travel arrangements and arrange for the business trips of CCO and provide necessary information to other departments/employees and others as and when required.
  • Act as liaison with other departmental units and provide information and respond to inquiries from different departments as well as the public or other entities on behalf of CCO as and when required.
  • Perform other job related tasks as assigned by the CCO.
JOB DESCRIPTION 
AUTHORITY AND INDEPENDENCE
  • Limited authority, as delegated by the CCO.
  • May exercise direct supervision over assigned lower level clerical support personnel.
  • A high degree of independence in executing his/her normal duties, but should seek periodic directives from superiors.
  • His/her achievements are subject to bi-annual reviews.
ACADEMIC/EDUCATIONAL REQUIREMENTS
  • Bachelor’s Degree (or equivalent qualifications) or preferably Master’s Degree in Business Administration or Marketing from a recognized and reputed college or university, with appropriate related professional experience.
PROFESSIONAL EXPERIENCE
  • About 4 years in similar or related corporations/organizations occupying advanced administrative and/or executive office support roles within a marketing/business development function.

REQUIRED SKILLS/ LANGUAGES
  • Fluent in written and spoken English.
  • Good knowledge of Arabic and other Far East and European languages is preferable.
  • Proficient in computer software, applications and internet potentialities. Extensive experience and expertise with Powerpoint, Excel, MS Word, MS Exchange, electronic time management systems, electronic mail tracking systems, etc.
  • Good practical knowledge of office management, e-commerce, distance learning and e-government services.
  • Excellent communication and cooperation skills.
  • Must be extremely well-organized, responsible, and be expert in time management.
  • High level of English proficiency and competency to handle all secretarial functions.
  • Good interpersonal skills to connect with people at various levels.
  • Should be fluent and conversant with making reports and presentation.
  • Extremely professional, detail oriented, able to multi-task.
